Privacy Policy
Effective 29 October 2026 · Sirgil Technology
This policy explains what personal information Sirgil Technology ("Sirgil", "we", "us") collects, why we collect it, how we use and protect it, and the choices you have. It applies to our website at sirgil.org, to the products and services we operate (including Simple POS), and to conversations you have with us, or with a service we run, on messaging platforms such as WhatsApp.
The short version
- We only collect what we need to run our services and talk to you.
- We never sell your personal information.
- We use your WhatsApp messages to answer you and to send updates you asked for. Nothing else.
- You can ask us to see, correct or delete your information at any time.
01Who we are
Sirgil Technology is a software company based in Namibia. We build and operate web systems, software products and the infrastructure that runs them. We are responsible for the personal information described in this policy, except where we act for a client as explained in the next section.
You can send questions about this policy or your information to [email protected] or to us on WhatsApp at +264 81 427 6567.
02When we act for a client
Some systems we build or operate belong to our clients, for example an organisation's internal system or a WhatsApp Business account we run on a business's behalf. In those cases the client decides what information is collected and why, and the client's own privacy notice applies. We process that information only on the client's instructions and only to provide our services to them. If you have questions about one of those systems, please contact the organisation directly. We will help them respond.
03Information we collect
Information you give us
- Contact details such as your name, email address, phone number and company.
- The messages, files and other content you send us.
- Account details when you sign up to use one of our products, such as your name, business name, login email and any staff user accounts you create.
- Billing details we need to invoice you.
Information from messaging platforms
When you message us, or a service we operate, through WhatsApp or another messaging platform, we receive:
- your phone number and profile name;
- the content of your messages, including any images, documents, voice notes or location you choose to share;
- message details such as timestamps and delivery and read status.
For WhatsApp, Meta provides this information to us through the WhatsApp Business Platform.
Information created when you use our products
This includes records you or your staff enter into our products, for example products, prices, sales and transaction records in Simple POS. If a product accepts card payments, the card details are handled by the payment provider. We do not store full card numbers.
Technical information
When you visit our website or use our products, our servers and hosting providers automatically record standard log information, such as your IP address, browser and device type, the pages you request, the date and time, and any errors. We use it to keep our services secure and working.
04How we use information
- To provide, operate and support our products and services, including setting up and maintaining accounts.
- To reply to your messages and support requests.
- To send service messages you've asked for or that relate to a service you use, such as confirmations, receipts, reminders and important account notices.
- To keep our services secure, prevent fraud and abuse, and fix problems.
- To improve our products, using combined or de-identified information where we can.
- To meet our legal, accounting and tax obligations.
We only send marketing or promotional messages if you've agreed to receive them, and you can opt out at any time. We don't use your information to make automated decisions that have legal or similarly significant effects on you.
05Why we're allowed to use it
Depending on where you are, the law may require a legal reason for using personal information. We rely on:
- Contract: to provide a service you've signed up for or asked about.
- Consent: for example, to send you WhatsApp updates or marketing. You can withdraw consent at any time.
- Legitimate interests: to run, secure and improve our services, where your rights don't outweigh those interests.
- Legal obligation: where the law requires us to keep or disclose information.
06WhatsApp and other messaging
We use the WhatsApp Business Platform, provided by Meta, to talk to customers and to run messaging features in some of our products. When you use WhatsApp, WhatsApp's own terms and privacy policy also apply to you.
- We only message you on WhatsApp if you messaged us first or agreed to receive messages from us.
- We use your WhatsApp number and messages only to reply to you, provide the service you asked for and send the updates you agreed to.
- We do not sell your WhatsApp information or share it with anyone for their own marketing.
- You can stop messages at any time by replying STOP or by telling us you no longer want to hear from us.
- We keep message history only for as long as we need it (see How long we keep information).
08International transfers
Some of our service providers store or process information in countries other than yours, including outside Namibia. When that happens, we take reasonable steps to keep your information protected in line with this policy and the law.
09How long we keep information
We keep personal information only for as long as we need it for the purposes in this policy:
- Messages and support conversations: for as long as we need them to help you and keep a reasonable record, then we delete them.
- Account and product data: while your account is active. After you close it, we delete or anonymise it within a reasonable period, or sooner if you ask.
- Billing and transaction records: for as long as tax and accounting law requires.
- Server logs: for a short period, for security and troubleshooting.
10How we protect information
We use reasonable technical and organisational measures to protect personal information. These include encryption in transit (HTTPS), access controls that limit who can see data, and keeping our systems and software up to date. No method of transmission or storage is completely secure, so we can't guarantee absolute security. We work to protect your information and will act promptly if something goes wrong.
11Your rights and choices
Subject to the law that applies to you, you can ask us to:
- give you access to the personal information we hold about you;
- correct information that is wrong or incomplete;
- delete your information;
- stop or limit how we use your information;
- give you a copy of your information in a commonly used format;
- withdraw a consent you've given us.
To make a request, contact us at [email protected] or on WhatsApp at +264 81 427 6567. We may need to confirm your identity first. We aim to respond within 30 days. You can also complain to the data protection authority in your country.
12Deleting your data
You can ask us to delete your personal information at any time. Our data deletion instructions explain how.
14Children
Our services are meant for businesses and adults. We don't knowingly collect personal information from children under 13, or under the minimum age in your country. If you believe a child has given us personal information, contact us and we will delete it.
15Changes to this policy
We may update this policy from time to time. When we do, we'll change the date at the top of this page. If the changes are significant, we'll also tell you through our website or services.
